Position Summary:

GENERAL OFFICE MANAGEMENT
OVERVIEW
Needed:  A proactive approach to supporting the day to day office functions that is conducive to the fast paced business climate.  With the transition to a smaller office space, but a more collaborative environment, this function needs to be highly productive and support ease of circulation in the office space.  This role is to follow Diageo organizational and functional policies, guidelines, and standards.
 
OFFICE SPACE AND CAFE

  • Keep entire office space, café area, and work area safe, running smoothly, clean, tidy, and professional in appearance.
  • Visually inspect for potential issues that need to be addressed and action the issue appropriately.  Examples: clutter, spots in carpet, marks on walls, trash, spills to be cleaned, light bulbs that need replacing, and temperature adjustments.
  • Support and integrate health, safety and security considerations into day-to-day working activities. Know what to do if an emergency occurs at our place of work
  • Keep pantry items and beverage cooler stocked.  Ensure appropriate levels of items ordered and stocked.
  • Keep dishes, sink and entire café area clean.
  • Wipe down all workstation surfaces daily, prior to 8am.
  • Monitor area and clear of clutter, dispose of trash, empty boxes etc. as needed throughout the day.
 
OFFICE COORDINATOR
  • Provide, coordinate, and set up resources needed for conference room and meetings.
  • Set up refreshments as needed in conference rooms.
  • Set up guests for wireless access as needed per Diageo personnel.
  • A/V needs: projector, power strips, conferencing phone – ensure all in working order.
  • Wipe down work surfaces and clear our any clutter between meetings.
  • Liaison with Diageo groups outside of Dallas office their meeting needs in this office as requested.
 
EMPLOYEE SOCIAL HOURS | TOWN HALL MEETINGS
  • Provide, coordinate and set up resources for employee office social hours and town hall meetings.
  • Liaison social hour and town hall scheduling and arrangements with on-site Diageo contact.
  • Secure bartender as needed/required.
  • Provide and set up all product, mixers, snacks, catering etc. needed.
  • Be the on-site contact for duration of social hour and provide clean up.
  • Accurately inventory all product as appropriate to fit within storage space provided.
 
ADMINISTRATIVE
  • Receive and process all incoming/outgoing mail, packages, and deliveries for the office.
  • Ensure all packages are delivered and/or secured as appropriate to addressee. 
  • An understanding that the employee workspace is activity based (vs. traditional assigned offices). 
  • Boxes/packaging need not clutter the space.
  • Assist with video conferencing and troubleshoot.
  • Perform general copy, collating, scanning, binding, shredding, faxing, and lamination services
  • Ensure appropriate levels of paper and toner is kept in stock, and equipment is replenished and kept in working order.
  • Maintain office equipment and keep general office supplies stocked.
  • Interface with facility vendors and building personnel.
