Facility Lease Administrative Assistant

Position Summary:

OVERVIEW
Jones Lang LaSalle is currently seeking a highly motivated and qualified individual with relevant work experience to join our team in Fort Worth, TX as a Facility Lease Administrative Assistant. Our Lease Administration platform supports a diverse set of client needs from basic management of lease abstractions and critical dates to full financial management of landlord invoices and reconciliation audits.
 
We provide comprehensive knowledge and access to data across the portfolio that enables our clients to make strategic real estate decisions that support and enhance their core business. Responsibilities our Lease Administrative Assistant will be responsible for include:
 
ESSENTIAL FUNCTIONS

  • Assist with abstracting and interpreting commercial lease documents (leases, amendments, subleases)
  • Assist with rent variance analysis and rent payment processing
  • Data entry, validation and management of lease
  • Assist with reviewing annual landlord reconciliation statements and real estate tax calculations to ensure accuracy and lease compliance

  • Tracking and maintaining critical lease dates
  • Resolution of rent and other landlord/tenant issues
  • Client/vendor/landlord relationship management
  • Complete word processing tasks (correspondence, reports, memos, proposals, charts, agreements, etc).
  • Perform administrative duties (filing, photocopying and faxing) in an efficient and timely manner.
  • Create and maintain electronic and hard-copy filing systems conducive to individual Business Unit needs.
  • Manage ad hoc projects/initiatives as needed. Participate in and support firm-wide initiatives.
  • Respond to special requests and assist as required.
 
EDUCATION AND EXPERIENCE
  • Bachelor’s degree in Business, Accounting, or Finance or equivalent combination of education and experience
  • Minimum 1 year of experience in Commercial Real Estate Lease Administration
 
KNOWLEDGE, SKILLS, AND ABILITIES
  • Demonstrate a proficiency in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook).
  • Possess proper oral and written communication skills (spelling, grammar and punctuation).
  • Communicate professionally, in a clear and concise manner. Team and customer focused with a collaborative work style.
  • Strong organizational skills. Ability to plan and manage work under time constraints, without direct supervision.
  • Be a team player, dealing effectively with co-workers and internal clients at all levels.
  • Ability to work in a fast-paced environment and maintain professionalism and confidentiality at all times. Readily adaptable to change.
  • Pay attention to detail and show a willingness to complete projects in a timely and efficient manner.
