Senior Manager - Lease Administration (Open to all US Locations)

Position Summary:

SUMMARY

This Senior Manager, Lease Administration will be responsible for the marketing, planning and growth of the lease audit business.  This person will oversee a team of lease auditors as well as performing lease audits themselves to achieve the successful delivery of services.

ESSENTIAL FUNCTIONS

  • Subject matter expert in reviewing landlord billings to confirm compliance with the client’s lease provisions for operating expenses, real estate tax expenses, CAM, O/T HVAC, electricity expense, sundry charges, additional rent, tenant improvements, and any other items of economic value pursuant to the lease.
  • Create and maintain marketing approach and materials to generate Lease Audit opportunities.  Develop relationships with Lease Administration and other service line resources to raise client awareness and promote additional lease audit business and revenues.  Participating in prospective client presentations.
  • In depth interpretation and extensive knowledge of lease language in order to interpret and communicate leases in a clear and effective manner.  Wide ranging knowledge of industry practices in different geographical areas and property types (commercial, retail, industrial and mixed-use). 
  • Initiate and complete audits within the timeframe and requirements of the client’s lease provisions.  Prepare audit notifications letters for clients to send to the landlord.  Contact the landlord to obtain the audit documentation or to schedule an on-site field audit.   
  • Review and analyze general ledgers, landlord’s accounting methods and capital amortization in accordance with GAAP, vendor contracts, invoices, Base Year expense compilation, gross-up calculations, cap applications, expense allocations and other landlord billings.
  • Present audit findings in a well-documented, persuasive and concisely written audit report which includes detailed audit schedules with complex calculations that the client uses to make decisions regarding the financial impact of the audit findings.  Review other auditor’s reports. Strong communication, analytical and problem solving skills.   
  • Negotiate and achieve highest potential recovery for client while maintaining a positive relationship between client, landlord and JLL.  Document and confirm current recoveries and quantify the financial impact for the remaining term of the client’s lease.
  • Majority of the revenue generated will be based on the successful recovery of monies for the client on a contingency basis.  A small portion of revenue is generated for hourly work.  Responsible for sending invoice to client for payment, and accounts receivable collection including internal follow up on payment status 
  • Provide superior client service to maintain and foster overall client relationships.  Provide regular updates through status reports, calls and other contact with the client to keep them apprised of the audit progress. 
  • Review leases, renewal documents, and amendments upon request from clients, CRM, Transaction Managers, and Lease Administration prior to execution.  Assist CRMs in reviews of client’s portfolio to assess locations for audit potential.
  • Work with Lease Administration to receive client documents and reconciliations.  Assist Lease Administration with lease language interpretations, questions regarding landlord’s billings and communications with landlord when requested.  Provide Lease Administration with language to include in Estoppels to preserve audit rights for clients.
  • Maintain audit files, online records and update AIS database to properly document all audit activities and findings.
  • When assigned as the Program Manager for a client serve as the direct contact, assist the client with understanding the lease audit process, perform the initial review of the client’s portfolio to determine audit candidacy, review and distribute client status reports, monthly and quarterly, set up client and locations in AIS, perform annual reviews of the client’s portfolio, assign locations among auditors.  For Lease Administration clients will request OVLA access and provide Lease Administration with a list of the audit locations.
  • Review other Auditor’s status reports prior to distribution at the end of each month.
  • Provide oversight and assistance to audit staff

  • Contribute to growth of company
  • Review and monitor all reconciliations for three clients
  • Direct contact with Dana Harvey to assign the Program Manager for the new client
  • Monitor all auditor status reports on monthly basis.
  • Coordinate monthly conference call with Auditors to review and discuss audit status.
  • Maintain revenue target spreadsheet.
  • Review department’s financial statements.
  • Review assigned locations for potential audit.
  • Work with CRM(s) before and during audit assignments. 
  • Serving as point of client escalation
 
EDUCATION AND EXPERIENCE
  • Bachelor’s Degree required
  • Minimum 8 years work experience in Lease Administration, Public Accounting or Internal Audit providing service for or employed with a Commercial Real Estate organization 
  • Direct experience with lease audits and associated audit procedures
  • Supervisory experience required
  • CPA a plus
