Senior Administrative Assistant

Position Summary:

We are currently seeking a Senior Brokerage Assistant to support a group of professionals in Dallas, TX. The Brokerage Assistant will often handle details of a confidential nature and is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment.
 
ESSENTIAL FUNCTIONS
GENERAL ADMINISTRATIVE

  • Provide support to team in various company supported technology applications such as Dealio, CRM, and PeopleSoft.
  • Maintain and manage contact database in Outlook and web-based CRM program.
  • Coordinate meetings
  • Prepare and execute expense reports on a regular and timely basis.
  • Create and maintain filing system with efficient information retrieval system.
  • Schedule appointments, coordinate calendars, and manage heavy travel schedule for team.
  • Answer phones for senior team members
  • Perform various clerical duties including responding/creating emails, photocopying, mailing and faxing documents.
  • Produce documents such as reports, memos, proposals, charts, agreements, PowerPoint presentations in a timely and accurate manner.
 
MARKETING | DEAL-RELATED
  • Prepare and distribute marketing materials/packages including maps, aerials, team marketing pieces, flyers, etc.
  • Active liaison with marketing department (ex: special event planning)
  • Prepare tour books, proposals, summaries, abstracts and other relevant documents as needed.
  • Coordinate/manage hard copy and email mailings using various databases
  • Manage process of distribution, list updates and activity reporting
  • Assist team with preparing and updating client-specific reports.
  • Assist and participate as needed for industry functions or client events.
  • Work with appropriate contact to maintain intranet/extranet sites as appropriate
  • Provide research (prospect, client, etc.) via online, offline and third-party resources and provide industry-related news, as needed, partnering with research department.
 
EDUCATION AND EXPERIENCE
  • Bachelor’s Degree or commensurate experience, preferred
  • Workplace experience, minimum of 6 years in administrative support role and real estate background is preferred.
  • Experience with mapping software (MS Streets & Trips, Street Atlas, Google Earth, etc.), a plus.
  • Working knowledge of Adobe Creative Suite (Photoshop, InDesign, and Acrobat).

  • Advanced Microsoft office product knowledge (Excel, Word, PowerPoint, and Outlook).

  • Written/Oral communications – Ability to speak and write clearly and concisely.
